To provide managerial direction with regard to service delivery in order to ensure maximum customer satisfaction by ensuring that the contractual legal agreements are being adhered to and managing all aspects of the Integrated Management System on sites ensuring compliance with the ISO 9001, 14001, 18001 standards.
Duties & Responsibilities
Compliance
Develop and maintain a successful client liaison.
Ensure outputs of SLA and Management Contracts are successfully maintained.
Ensure compliance of Service Agreements at contract level.
Ensure that mechanisms, policies and procedures are in place to ensure compliance of our obligations and responsibilities regarding the OHS Act and statutory requirements.
Ensure continual improvement and the efficiency and effectiveness of the IMS System.
Ensure that the appropriate policies and procedures for Emergency and Disaster Preparedness are in place and that staff are provided with the necessary mentoring and training on an ongoing basis. Ensure a constant state of readiness to respond to all emergencies is maintained.
Ensure quality systems of the SLA are implemented and monitored on an ongoing basis.
Ensure all variations (change management) which affect the SLA of all services are implemented accordingly.
Establish that a Self-Audit Program is used at site level to increase the standards of service to the client.
Develop and maintain a successful client liaison.

Ensure compliance of Service Agreements at contract level.
Reactive maintenance
Maintenance programme strategy should be detailed and planned so to ensure business continuity incurs minimum downtime
Pro-actively manage the maintenance process and identify potential equipment / asset failure or problems
Condition monitoring which includes the following: vibration monitoring, temperature analysis of HVAC systems; distribution boards; other electrical installations
Take corrective action
Manage the planned preventative maintenance plan and ensure that all PPM’s are carried out as per the planned maintenance plan
All PPM’s are revised and updated as per operational requirements
Carry out manufacturers recommendations of inspections on all relevant buildings, equipment, plant, other
Identify required maintenance for the next financial yearFinancial Management
Compile a maintenance budget
Adhere to Financial Controls and Procedures
Spares
Identify spares and consumables which are required, procurement cost and manage minimum stock levels
Management of Service Providers and Service Deliveries
Measure and manage the quality and standards of service delivery from service providers.
Define service level deliveries as well as mechanisms to measure compliance
Define and implement from work standards to grade and audit service providers.
Risk Assessments
Complete, compile and initiate risk assessment reporting.
Undertake risk assessments of operating processes and requirements.
Ensure risk assessments are update annually or when new SOP/MSDS/Equipment/process is introduced to the service.
Ensure sign off by all parties and file in site file.
Manage SHE Risk
Manage SHE risk best operating practice relative to client business policies.
Ensure contractors carry out duties in accordance with the site SHE policy, conduct visual inspections to ensure compliance and address with service provider to correct non-compliance/change procedure to ensure contractor conforms to requirement.
Ensure relevant service provider adheres to HACCP policy on site.
Conduct inspections to ensure compliance and address areas of non-compliance with service provider, to be rectified within set time frame
Management of Service Delivery
Manage the quality of subcontractors service delivery; conduct condition audits and walk abouts with service providers, ensure compliance to requirements.
Identify non-conformance and ensure it is rectified.
Ability to work between sites
Reporting
Ensure reports reflect current requirements for each service provider and amend where required
Management of the frame work standards to grade and audit service providers
Ensure service provider compliance to meet the FWS for site and service provider audits
Skills and Competencies:
Development of Maintenance Plan
Project Manage new equipment, facilities and other changes to the building
Electrical competence in identifying breakdowns and planning new installations
Working knowledge of as built drawings: plumbing; electrical; civils; technical; PC and Microsoft skills.
Problem solving and analytical skills
Ability to identify, develop and apply new ideas and practices in areas of responsibility that are consistent with Tsebos strategies and which demonstrate a proactive approach to meeting the needs of the contract
High degree of computer literacy on MS packages (MS Word, Excel, PowerPoint)

Qualifications:
Facilities Management Diploma
NQF – Level 5
Operations Management Diploma
Quality Management Degree
5 years working experience in a facilities Management environment
Ability to formulate risk assessments and quality management
